Full Job Description

Key Duties and Responsibilities
1. Provide administrative support to the PR SCA Team
  • Prepare the payment packs and share it with finance as soon as invoice is available, and PO done while also following up to ensure all invoices are processed in time;
  • Understand the finance chart of accounts guide, question and challenge commercial team on their PO coding, where necessary;
  • Liaise with Finance to ensure a supplier payment tracker is up to date at all times and saved centrally for easy access by all stakeholders on the status of invoice payment;
  • Ensure all open PO’s at the end of the month of which the work has been done, are receipted on the system and open requisitions are either deleted or approved;
  • Effectively and proactively manage the procure to pay process, ensuring all PO’s are managed in terms of year end payments;
  • Coordinate and support finance on the accrual process prior to year-end;
  • Payment queries from contractors responded to courteously and without delay;
  • Manage any other ad hoc financial administrative tasks.
Human Resources
  • Recruitment
    • Schedule interviews, as and when required;
    • Conduct references and checks, as and when required;
    • Provide feedback to all parties as per interview outcome;
  • Ad hoc HR Administration pertaining but not limited to:
    • New employee packs
    • Credit card applications;
    • JDE applications;
    • Assist with HR projects, where applicable;
General Administration
  • External documents drafted, when required within the specified time period;
  • Develop and maintain a strong filing system;
  • Enquiries from internal and external stakeholders responded to courteously and without delay;
  • Enquiries referred to the appropriate person as necessary without delay;
  • Ensure confidentiality is adhered to at all times.
  • Post meeting actions and minutes typed, and communication distributed timeously.
Events Planning
  • Ensure appropriate venue/meeting room and catering are booked timeously;
  • Ensure expenses kept within budget;
  • Reminders of deadlines and meetings are sent out to attendees in advance;
  • Ensure documentation, meeting packs, reports and presentations are distributed in advance, where applicable;
2. Travel
  • Support all stakeholders within PR SCA on all travel arrangements i.e., flight booking, hotel, transfer, meals etc. within the required time period;
  • Ensure expenses are kept within budget;
  • Ensure all paperwork is completed and sent to relevant persons within the required time period;
  • Control and manage all VISA applications within the required time period.
3. Stakeholder Relations
  • Efficiently collaborate with internal and external stakeholders, when needed;
  • Understand the different business units within PR SCA and PR SSA, where applicable;
  • Ensure clear, concise and courteous communication at all times;
  • Ensure timeous feedback;
  • Provide general support for internal and external stakeholder visits.
Key Competencies and Experience
Knowledge, Skills and Attributes:
  • Strong organizational and time management skills;
  • Deadline driven;
  • Strong verbal and written communication skills;
  • Excellent interpersonal skills and ability to manage and make best use of relationships at various levels;
  • High level of autonomy, empowerment and the ability to work with minimal supervision with many competing priorities;
  • Ability to have a high level of attention to detail;
  • Passionate, creative and highly adaptable individual;
  • High level of integrity and ethical conduct;
  • Proficiency in MS PowerPoint, Word and Excel (Intermediate to Advanced);
  • English speaking (French and/or Portuguese advantageous).
Qualifications and Experience:
  • Degree or Diploma in Administration;
  • Atleast 3-5 years proven work experience in a similar role;
  • Previous FMCG experience (advantageous).
