Full Job Description

We are looking for an experienced and energetic People Support Manager to manage and support various HR functions, including: Recruitment, IR Advice, policy adherence and alignment, staff welfare, employee engagement, performance management, change management, and management reporting.

Reporting Structure: The successful candidate will be reporting to the Head: People Support and will have 3 direct reports (PS Practitioners)

The overall key performance areas are listed below.

Recruitment & Selection

  • Implement, coordinate, maintain and manage the Recruitment strategy and practices to attract appropriate skills in line with business objectives
  • Research, implement and manage appropriate recruitment channels
  • Design, implement and maintain bulk recruitment model for Operations
  • Build monthly and annual recruitment plans in line with line managers
  • Conduct monthly Recruitment feedback meetings with Operational Head’s
  • Build and maintain internal and external relationships and networks to support recruitment solutions
  • Manage and maintain list of Recruitment Agencies and ensure best rates have been negotiated
  • Manage the new employee start up process, liaise with line manager and IT to ensure that new employees have active accounts, hardware and email upon starting

Employee Relations (IR)

  • Maintain and monitor the Disciplinary Policy and Procedure
  • Support the business in Disciplinary matters, ensure IR policies are consistently adhered to within the business and advise management on good IR practice
  • Train all managers on Employee Relations process and procedures and provide guidance where necessary
  • Stay abreast of amendments to Labour Legislation and new case law
  • Represent HR in all Disciplinary Enquiries to ensure a fair procedure has been followed
  • Advise and coach managers and employees
  • Assist with compilation of packs for CCMA cases and company representation

Employee Wellness

  • Develop and oversee the implementation of an effective wellness strategy and wellness progammes in the business to promote a healthy and productive workforce
  • Monitor and measure the wellness initiatives
  • Implement and coordinate employee wellness programmes, events and days that aims to enhance and promote employee and organisational wellness in line with the Wellness strategy
  • Coordinate and assist in the management of all Wellness Service Providers

Onboarding of new employees

  • Manage Onboarding Questionnaires & interviews and compile onboarding feedback report
  • Coordinate and support on-boarding of new employees
  • Input and feedback to Talent Department on Orientation content, methods and documentation
  • Coordinate, monitor and support probation review process

Performance Management

  • Monitor the Performance Management policy and processes within business
  • Conduct needs analysis on performance management process and system and provide input and recommendations for improvement
  • Communicate to, and educate stakeholders regarding process, system and tools
  • Update and amend KPI’s on Sage as and when requested by Management
  • Administer the Performance Management module on Sage
  • Collect, collate and report on performance management results
  • Manage poor performance processes in accordance with the Performance Improvement policy and procedures

PS Policies & Procedures

  • Provide input and draft HR policies and procedures
  • Implement, monitor and ensure consistent application of all People Support policies and procedures
  • Educate and train managers and employees on various policies and procedures

Employment Equity

  • Implement and monitor Employee Equity Plans
  • Coordinate, plan and manage EE & Skills Development Committee Meetings in conjunction with L&D Manager
  • Prepare monthly EE statistics and presentations

HR Reporting

  • Prepare the monthly HR report for distribution to Management Team
  • Interpret and advise managers on trends within their departments and provide input into addressing the trends

HR Administration & Support

  • Administration of appointment process, including offer letters and employment contracts
  • On-boarding contracting and administration of new employees in conjunction with Recruitment & Payroll
  • Ensure proper administration and recordkeeping of all employee information and records, paper and electronic (SAGE)
  • Manage the new employee start up process, liaise with line manager and IT to ensure that new employees have active accounts, hardware and email upon starting
  • Performance Management Administration Support
  • Remuneration administration support, including salary increases, bonuses etc.

Exit Procedures

  • Manage and ensure Exit procedure is followed
  • Ensure exit interviews are conducted and monthly exit reports are distrubuted to manangement
  • Ensure all exit interview data are recorded on tracker to ensure accurate reporting and trend analysis

Retention Management

  • Assist in the implementation of the engagement surveys and the analysis of the data
  • Present and workshop results within the business
  • Identify retention measures to improve engagement levels and reducing employee turnover and draft Retention Plan
  • Provide input into and implement and monitor the management of the retention plan
  • Use on-boarding interviews and exit interviews to identify engagement and exit trends which is to inform the retention strategy
  • Assess employee engagement through regular interaction (formal or informal)
  • Ensure that the recognition and reward programme in the Contact Centre are effectively managed

Human Resources Service Delivery

  • Maintain high HR service levels to support business
  • Ensure quality and timeous delivery of HR Services, process and practices and provide support and advise to business partners
  • Develop and maintain strong working relationships with employees & management and the wider HR team

Team Leadership & People Management

  • Provide visible and clear leadership to team, promoting a culture of high performance and customer focus
  • Conduct regular management and team meetings to ensure high levels of communication, teamwork, integration, motivation, training and productivity
  • Maintain a department organisational structure, capacity (knowledge and skills) and career pathing sufficient to meet business strategies and operational targets
  • Implement and maintain people management practices in alignment with Tenacity policies

Experience

  • 5 years’ HR Generalist experience
  • 3 years’ experience in team management
  • 3 year’s experience in employee relations (IR)
  • Experience within a Financial Services/ Contact Centre environment is advantageous
  • Highly competent in understanding and application of labour legislation

Qualification

  • Degree in Social Sciences/ Human Resource Management/ Industrial Psychology

Functional Knowledge and Skills

  • Knowledge and experience in SAGE People 300
  • Knowledge and experience of HR & Recruitment best practices
  • Knowledge of Labour Legislation, specifically Skills Development, Employment Equity, BCEA, LRA
